Why Liability Insurance?

When you host an event at the Lynwood Park Building, the City of Ottawa strongly recommends (and sometimes requires) liability insurance. Because of your activities, you could be sued by third parties—even if you’re not ultimately at fault. Liability insurance covers:

a. Legal defense costs

b. Court-awarded damages

c. Bodily injury

d. Property damage

e. Personal injury liability

f. Medical payments

g. Tenant’s legal liability

Note: Sub-contractors, vendors, or exhibitors are not covered under your City of Ottawa Facility User Group Liability Policy.

Insurance Options

a. Purchase City of Ottawa Insurance.

  i. You will be invoiced separately.

  ii.  We will submit the paperwork and payment to the City on your behalf.

  iii.  Add the City of Ottawa and Tanglewood Hillsdale Residents’ Association

iv.  List both as Named Insured on your existing policy.

v.  Provide a minimum of $2 million coverage.

b. (Meetings Only) Sign a Waiver

You, the Permit Holder, assume full responsibility for any damages or claims.

c. City of Ottawa Insurance Premiums

Premiums depend on:

Event type and risk level (passive/low, moderate, physical/high)

Number of attendees

Event frequency (one-time or recurring)

Alcohol usage

Non-recurring booking premiums range from $2.16 to $135.00, with a $500 deductible per claim. Examples:

Children’s birthday party: $2.16/hour

Low-risk meeting/workshop (1–250 attendees, up to one full day): $2.70

Private event without alcohol (26–100 attendees): $54.00

One-day event with alcohol (26–100 attendees): $135.00

Family-oriented special event (1–100 attendees): $27 (no alcohol) or $54 (with alcohol)

Bouncy Castles

Allowed only if:

a. Placed outdoors

b. Set up, supervised, and removed by a professional company

c. The company provides at least $2 million in coverage, naming both the event organizer and the City of Ottawa as “Additional Insured.”

Special Events

“Special events” primarily include family-oriented gatherings like showers, christenings, dinners, and retirements. Weddings are excluded.

Sports, Recreational Activities & Camps

Premiums vary (e.g., dance, music, Tai Chi, children’s play groups, fitness, martial arts, yoga). For details, email rentals@thca.ca.

Refundable Warranty Deposit

A $100.00 deposit covers any costs not reimbursed by insurance, such as:

a. Extra cleaning

b. Lost keys

c. Fines

d. Damaged equipment

e. Facility damage

The Bottom Line

If your event causes damage or loss, you or your insurance company must cover the full cost.

If someone is injured at your event, you or your insurance company are responsible for any related claims or lawsuits.
